Temporary Facilities Manager Brussels

Reporting to: Facilities Manager Europe & Asia

Based in: Brussels Belgium

Responsible for: Office Services for ICf Rue Royale & ICF Mostra Office

Hours: Monday to Friday Flexible Hours: 08,30 to 16.30

Key Skills:

  • Proven experience as a Facilities manager, office manager or facilities coordinator

  • Fluent in English, French and dutch/Flemish

  • Excellent written and verbal communication skills

  • Excellent communication and relationship building skills, developed in a partnership environment.

  • Proficiency in MS Office (MS Excel , MS Word, MS Outlook, MS Visio and MS Project Plan}

  • Excellent time management skills and ability to multi-task and prioritize work

  • Strong organizational and planning skills in a fast-paced environment

  • Flexible and adaptable to deal with changing requirements, able to balance competing priorities.

  • Management experience over directly & indirectly employed facilities professionals.

  • Experience of carrying out a wide variety of administrative tasks within a facilities setting.

  • Great health & safety knowledge.

  • Experience of carrying out a wide range of facilities tasks.

  • Experience in office moves would be an advantage.


  • Serve as the point person for office manager duties including:

  • Assist receptionist at both locations with cover

  • Assisting with couriers

  • Organising kitchen supplies for both locations

  • Schedule meetings and appointments

  • Organize the office layout and order stationery and equipment

  • Maintain the office condition and arrange necessary repairs

  • Partner with HR and Facilities Manager to update and maintain office policies as necessary

  • Organize office operations and procedures

  • Coordinate with IT department on all office equipment

  • Ensure that all items are invoiced and passed on to the Finance team

  • Manage contract and price negotiations with office vendors and service providers

  • Address employees queries regarding office management issues (e.g. stationery, office supplies and maintenance)

  • Liaise with facility management vendors, including cleaning, catering and security services

  • Plan in-house or off-site activities, like parties, celebrations and conferences
