Temporary Facilities Manager Brussels
Reporting to: Facilities Manager Europe & Asia
Based in: Brussels Belgium
Responsible for: Office Services for ICf Rue Royale & ICF Mostra Office
Hours: Monday to Friday Flexible Hours: 08,30 to 16.30
Proven experience as a Facilities manager, office manager or facilities coordinator
Fluent in English, French and dutch/Flemish
Excellent written and verbal communication skills
Excellent communication and relationship building skills, developed in a partnership environment.
Proficiency in MS Office (MS Excel , MS Word, MS Outlook, MS Visio and MS Project Plan}
Excellent time management skills and ability to multi-task and prioritize work
Strong organizational and planning skills in a fast-paced environment
Flexible and adaptable to deal with changing requirements, able to balance competing priorities.
Management experience over directly & indirectly employed facilities professionals.
Experience of carrying out a wide variety of administrative tasks within a facilities setting.
Great health & safety knowledge.
Experience of carrying out a wide range of facilities tasks.
Experience in office moves would be an advantage.
Serve as the point person for office manager duties including:
Assist receptionist at both locations with cover
Assisting with couriers
Organising kitchen supplies for both locations
Schedule meetings and appointments
Organize the office layout and order stationery and equipment
Maintain the office condition and arrange necessary repairs
Partner with HR and Facilities Manager to update and maintain office policies as necessary
Organize office operations and procedures
Coordinate with IT department on all office equipment
Ensure that all items are invoiced and passed on to the Finance team
Manage contract and price negotiations with office vendors and service providers
Address employees queries regarding office management issues (e.g. stationery, office supplies and maintenance)
Liaise with facility management vendors, including cleaning, catering and security services
Plan in-house or off-site activities, like parties, celebrations and conferences
