We are looking for a capable Management Assistant/ Executive Assistant to assist and collaborate with (one of) our Partners on a daily basis.

The aim of your job is to provide a wide range of administrative tasks and day to day support with one goal: making your Partner’s life easier so that he/she can work more effectively.

An important part of the role will be dedicated to specific tasks, supporting the partner’s business activities:

  • Create new clients in the system

  • Draft contracts/client proposals using EY existing templates

  • Input and update contact details

  • Support with submitting timesheets and expense notes

  • Support with follow-up of projects from A to Z:

  • Insert data in internal CRM tool and adjust as needed

  • Follow-up on contracts and other official documents

  • Monitor client hours and expenses

  • Assist with preparation of invoices and follow-up of collection

Moreover, your job will also include the classic support tasks that we expect from a capable Management Assistant:

  • Manage agenda & email

  • Arrange travel and accommodation for business trips

  • Organize various internal and external meetings

  • Handle incoming calls

  • Act as a back-up to other management assistants in the team

  • Various related administrative and support tasks as required.

Qualifications:

To qualify for the role you must have

  • Bachelor degree in a relevant field (Office Management, languages, etc), or equivalent by experience

  • Relevant, solid experience (3 – 5 years) in a similar support role (executive assistant, management assistant, personal assistant, team assistant, office manager)

  • Fluency in Dutch, solid level of business English and a good understanding of French

  • Excellent knowledge of the MS Office package (Word, Excel, PowerPoint, Outlook)

  • Good communication skills and proactive attitude

  • Hands-on and well organized, sense of responsibility, eager to learn

  • Experience in a professional services firm, in a law office or in the financial services industry is a major differentiator.
