Overview

JOB SCOPE:

The Sales Administrative Assistant provides executive level administration support to the KAE Commercial Directors.

Responsibilities

Administration

  • Acts as key contact to funnel communication and services to and from the different KAE Area Managers and Sales Directors

  • Prepares material for monthly report for the Commercial Director/VP Sales for the executive board meeting.

  • Provides support in preparing presentational material for meetings as necessary.

  • Responsible for the correspondence and secretarial duties for the KAE Commercial Director/VP Sales

  • Follows up Action programs: Conference Calls/Meetings

  • Filing and administering Distributor Contracts, contract database maintenance

  • Follow-up on projects, participate in monthly project reviews

  • Prepare detailed reports

  • Administration of customer relationship database

  • Liaises with field sales

  • Organize travels and accommodation for Sales Directors

  • Organisation of sales events

  • Organisation of customer visits & Innovation Days

  • Prepare and Coordinate Fast start (incl. campus tour) for sales team.

  • Organize the workshops for the Sales Force in agreement with Sales and Marketing Directors

  • Back up for other Executive Assistants during absence.

  • Coordinates the information and input received from the different KAE Areas.

Price desk

  • Fulfilment of literature and promotional orders received from the KAE Sales force and customers.

  • Supports the commercial activities of the KAE Sales force in the field.

CRM

  • Championing the CRM administration and update of customer data on daily basis

  • Follow-up on projects & project sufficiency analysis

  • Follow-up on actions & events

  • Responsible for CRM reporting (monthly and on request)

  • Provide inputs for CRM Enhancements (in liaison with Customer Service Manager)

  • Participate in monthly presence at WW Admin call + follow-up

  • Support and coordinates Sales Manager Training and back up.

Qualifications

MINIMUM EDUCATION (including licenses, certifications, designations, etc.):

  • Bachelor degree in Business Administration or equivalent by experience

ESSENTIAL SKILLS & EXPERIENCES:

  • 3-5 years relevant experience

  • Fluent in English is a must (spoken & written)

  • Advanced PowerPoint and Excel skills ( proficient in vlookup, Pivot table)

  • Detailed knowledge of organizing business travel

  • Good communication and commercial feeling

  • Well organized, accurate

  • Analytical skills

  • Flexible in adjusting to organizational needs

  • Flexible to occasionally travel to support corporate meetings, functions and seminars
